Earlier, we had the opportunity to create policies through Applied Epic and then sync them to InsuredMine. However, now you can create policies directly within InsuredMine and sync them to Applied Epic. Once you have ensured that the account is synced with Applied Epic in InsuredMine, you can then go ahead adding the policy details and manually syncing them to the Epic portal.
Use Case: Simplify the process of updating and managing policy information by allowing users to manually sync data directly from InsuredMine to Applied Epic.
To View the Enhancement:
1st Step: Account Should be Synced

- Make sure the Account is Synced with Applied Epic as shown in the image above.
Step 2: ‘+Add Policy’

- Next, tap on the Policies tab within Account 360 of the account , and then click on the ‘+ Add Policy’ to add the policy details.
Step 3: Fill in the Mandatory Policy Fields

- Enter details such as Contact Name and Policy Details, including the Carrier Broker (External/Internal). By default, it will be set to Carrier.
Select Premium Payable (Writing Carrier in Epic):

Select Issuing Company:

- Select the Premium Payable (Writing Carrier in Epic) and Issuing Company from the dropdown.
Note: This solely depends on the agent’s choice of policy type.

- Add the category details, such as Policy Type or Policy Line.
- Select the Agent.
- Choose the Payment Frequency either: (Monthly, Quarterly, Bi-Annual, 9 Months, 10 Months) or Variable.
- Add the Policy Number.
- Enter the Estimated Premium (you can view this premium after syncing under Epic’s Estimated Premium tab).
- Add the Effective Date.
- Add the Expiration Date.
- Next add Notes if required.
- Hit Save.

- After you click save you will receive a Pop-up saying : Success! Policy Added Successfully.

- Policy has been created within the Account.
- Next click on it to View the Policy.Â

You can view the policy details on the policy page after adding the policy.

Step 4: Manually Sync the Policy From InsuredMine to Epic

- Click on the ‘Applied Epic, Not Synced’ option within the Policy Details page.

Fill in the additional information:
- Line Status
- Issuing Location
- Department
- Profit Center
- Hit ‘Sync’ to manually sync the policy to Epic AMS.
Step 5: Single Account Refresh

- Click the Single Account refresh option once to accumulate all the details at once within the policy details in Line of Business that you have added while syncing as shown in the image below 👇

Note: You can view the policy wherever you have the option to create policies, such as on deal cards, accounts, contacts within InsuredMine.
Epic Default Activity Sync for Policy
With this enhancement, when you add a policy, a default activity is automatically created. Once the policy is synced, you will be able to fetch the details of that default activity within the Epic Activities tab associated with the policy.

- But first, within ‘Auto/Manual Sync,’under the settings module, you need to set the ‘Policy Default Activity’ to either open or closed, and then set the code for the policy default activity.

- Navigate to the Account 360 Module for the account.
- Next, click ‘Add Policy’ to add a New Policy.

- Fill in the required details to add the policy, and then click Save.

- Hence, the Policy will then be added to the Account.

Sync the Policy:
Now, Sync the Policy with Epic:

- Select the Policy No. to view the policy.

- Now, click on the ‘Applied Epic Not Synced’ icon to sync the policy to Epic.

- A panel will open from the right. Select the Line Status, Issuing Location, Department, and Profit Center.Â
- Lastly, click on the Sync button.

- A Success message will appear once the policy has been synced to the AMS Successfully.
View Newly Created Activity associated with Policy after sync Epic:

- Within the Epic (Activities Section) , you will be able to retrieve the details of the default created activity which will be associated to the policy.
Note: If the default activity doesn’t get synced automatically by any chance, you can go ahead and hit the manual sync button to manually sync the default created activity associated with that policy.
